I would love to see functionality within Xplor/Playground that allows services to create, manage and send digital authorisation forms directly to families through the Xplor Home app, with the required information and documentation structured to support services in meeting the Education and Care Services National Regulations.

For example, services could create digital forms for:

Excursions and regular outings

Transportation and regular transportation

Incursions or special events

Other activities requiring parent/guardian authorisation

A valuable feature would be the ability to create and attach the relevant risk assessment within Playground, so the risk assessment, excursion/transport details and family authorisation are all linked together in one place.

Ideally, the system could provide templates or required fields that prompt services to include the information required under the National Regulations, helping ensure important details are not unintentionally missed.

Once completed, the relevant information could be sent directly to families through the Xplor Home app, allowing parents/guardians to review the details and provide their digital authorisation/signature.

It would also be helpful for services to be able to:

Track which families have provided authorisation and which remain outstanding

Send reminders to families with outstanding authorisations

Record the date, time and authorised parent/guardian for each response

Store completed authorisations against the child's record

Link the authorisation directly to the relevant risk assessment

Duplicate previous excursions or regular outing templates where appropriate

Review and update risk assessments as required

Maintain a clear digital record for compliance and regulatory purposes

Having the risk assessment, required excursion/transport information and parent authorisation all connected within Xplor would significantly reduce paperwork and double handling while providing services with a much clearer compliance trail.

It would also make the process much easier for families, as everything could be reviewed and authorised conveniently through the Home app rather than relying on paper forms being sent home and returned.

This would be an extremely useful feature for early childhood education and care services looking to streamline administrative processes while continuing to meet their obligations under the Education and Care Services National Regulations.
