Visitor Sign-In Compliance for Child Safety Requirements

Recent government updates to child safety requirements have introduced stricter controls around the use of personal devices, and the storage of photos and videos within early learning services. A key requirement is that no personal devices (i.e. devices not owned by the service) are permitted on the centre floor unless specific conditions are met.
As part of compliance, all visitors and contractors attending a service must explicitly acknowledge and agree to child safety conditions upon sign-in. The current Xplor Hub visitor sign-in does not support capturing this agreement, which has resulted in services needing to move to paper-based systems to remain compliant.
To meet these requirements, the visitor sign-in process must include a mandatory acknowledgement of the following conditions (or simular):
☐ I will stay in approved areas only and follow staff directions at all times.
☐ I will not enter classrooms, sleep rooms, or bathrooms without staff permission.
☐ I will not take photos, videos, or recordings, and will not use camera-enabled devices around children.
☐ I will maintain professional boundaries, use appropriate language, and will not have unsupervised or physical contact with children.
☐ I will respect the privacy of children, families, and staff, report any safety concerns, and sign out when leaving.
There also needs to be consideration for contractors (e.g. builders, plumbers) who may require the use of their devices for work purposes (such as taking photos). In these cases, it is critical that they still formally acknowledge and agree to the above conditions to ensure child safety obligations are upheld.
A feature enhancement is required for Xplor Hub to incorporate a compulsory agreement step within the visitor sign-in flow, ensuring services can meet compliance requirements without relying on external paper-based processes.
